File Management Features in FileCenter

Manage & Organize Your Files

You can organize & manage your files two ways with FileCenter: using a regular "Explorer" interface just like Windows, or using FileCenter's electronic file cabinets.

These cabinets use a familiar Cabinet/Drawer/Folder layout, in an easy left-to-right flow. Cabinets "overlay" regular Windows directories, so you can view your existing files in cabinets without importing them. Cabinets can store any kind of Windows file.

Need to put a cabinet on the network? It's completely transparent with FileCenter. All network users can share the same cabinet simultaneously.

Cloud Compatible

FileCenter is full compatible with many popular cloud providers, like DropBox. This means that your FileCenter files can viewed on your local PC, or when you're on the go through your cloud provider.

Scanning to the cloud becomes so transparent and automatic, it doesn't even require a separate feature to do it.

Save/Open Integration

If you're using FileCenter's electronic file cabinets to manage your files, you can optionally replace your standard Windows Save/Open dialogs with custom FileCenter versions.

Using FileCenter's Save/Open integration, you'll save files directly into your file cabinets from most of your programs, and open them again in their native applications. The integration can be enabled/disabled on a program-by-program basis.

Inbox

For users and offices that receive a steady inflow of files to a specific folder, FileCenter offers an Inbox feature.

An inbox shows the inbound file folder on top and your regular cabinets on the bottom, making it easy to move the incoming files into your cabinets. Combine this feature with Naming Options and the Drop Renaming feature, and you can literally organize and rename dozens of incoming files with a simple drag-and-drop.

How often do you open a file just to check if it's the file you want? Let's face it, when you're hunting for a file you need to see what you're looking for.

FileCenter's built-in preview window gives you real-time previews of files as you click on them. Preview many kinds of files without opening them, including office documents, spreadsheets, PDF files, scans, faxes, pictures, CAD files, and more.

E-mail Files ... as PDFs

Send any kind of file by e-mail with one-click e-mail attachments. Just select and send. You can even give the attached file a different name.

FileCenter Professional can also attach many kinds of files as PDFs. Send sensitive spreadsheets or documents as PDF files without changing the original.

File Naming Rules

Consistent file naming is an important part of organizing your files. FileCenter helps you be more consistent through file naming rules, known as Naming Options.

Naming options let you set up a list of commonly-used file names, then when it's time to save a file, you just pick a name from the list. File names can even contain dynamic information, like dates, customer or patient names, and increments. Literally name and save your files or new scans with a couple of mouse clicks.

Folder Templates

If you use the same folder layouts over and over, FileCenter can make your life easier. You can define reusable folder layouts that are as simple or complex as you'd like, including nested folders many layers deep. You can then apply these layouts to any drawer or folder.

They become especially useful when you add new drawers or folders – apply a folder layout at the same time. Consistent layouts are critical to an easy-to-use file organization system.

Network Recycle Bin

The biggest shortcoming of network drives is the lack of a Recycle Bin. So FileCenter provides its own. Once you turn on the recycle bin, FileCenter will keep a copy of files deleted on network drives. Now if you delete a network file by mistake, it can still be recovered.

Application Bar

Gain access to your most frequently-used programs from within FileCenter. The Application Bar displays icons for your other programs. Use it to launch applications or drag-and-drop files onto other programs. You can even see each program's most recent file lists, letting you quickly re-open files right from FileCenter.

Split View for Moving Files

An important part of maintaining a well-organized filing system is moving and renaming files.

FileCenter will show you two locations simultaneously so you can move files around easily. To make things more efficient, you can also rename a file as you move it. Your naming rules are also available as you move/rename files, so you can do both with just a couple of mouse clicks.

Drop Renaming

In addition to the split view, FileCenter Professional also features a drop renaming feature. This feature can rename files in bulk as you drag/drop them from one location to another.

Using this in conjunction with FileCenter's file naming rules, you can reorganize and intelligently rename dozens of files at a time. It's ideal for moving incoming files into your cabinets in bulk.

File Thumbnails

Thumbnails show you a small image of a file's contents. Using thumbnails, you can quickly locate a file based on its contents, not just its name. FileCenter can show files as resizable thumbnails instead of icons.

FileCenter Standard will show thumbnails for pictures, photos, and image files – the same formats that Windows supports.

FileCenter Professional provides an Enhanced Thumbnail view that will show hundreds of kinds of files as thumbnails, including office documents, spreadsheets, PDF files, scans, CAD files, etc. Additionally, you can actually flip through the pages of the file in the thumbnail. For PDF files, you can also extract or delete pages and split the file using the thumbnail image.

Bridge the Gap with Outlook

Maybe the best way to archive e-mail messages is to save them out as individual files. This way you can group a client or patient's archived e-mail with the rest of their files. FileCenter can optionally add special Save buttons in Outlook to make it easy to save important messages to file on-the-fly.

Many use Outlook to keep track of their clients or patients. But how can you organize your files by client? Easy – use FileCenter's Outlook cabinets. FileCenter can optionally read your contact lists and generate a special Outlook Cabinet so you can start saving files under the names of your Outlook contacts.

File Encryption & Shredding

To protect sensitive files from prying eyes, FileCenter includes two invaluable security features: file encryption and file shredding.

Use encryption to password-protect any file, making it completely unusable without the password. And when it's time to delete a sensitive file, don't just delete it – shred it.

FileCenter "shreds" files by overwriting them multiple times with random data, then deleting them. This keeps "undelete" utilities from ever being able to recover the file.

PDF Features

PDF Editor

PDF has become the de facto way to share and archive uneditable files, including scanned documents, web pages, and office files. So working with PDF files needs to be as quick and efficient as possible. That's why FileCenter features its own PDF editor.

Use FileCenter to open, view, mark up, comment and annotate your PDF files. Delete pages, rearrange pages, extract pages, and move pages between files. You can even fill out forms and sign your PDFs with digital signatures. The tabbed interface keeps multiple open files at your fingertips.

Stamp, Highlight, and Annotate PDFs

FileCenter's PDF editor features many highlighting and annotation tools. Highlight sections of text in any number of different colors. Draw lines and arrows to accentuate or mark out parts of the PDFs. And draw squares, circles, and even cloud shapes.

One invaluable tool for annotating PDF files is the Stamp feature. Quickly apply a stamp to a PDF to let other users know its status. FileCenter even supports custom stamps, dynamic stamps, and third-party stamps.

When printing PDf files, you can choose whether or not you want the annotations and stamps to print as well.

Add Comments and Notes

When a stamp or simple annotation isn't enough, you can add your own comments to your PDF files.

Think of comments as sticky notes that you can attach anywhere. The comments show who made the comment and when it was attached. Customize the colors and fonts of your comments. Comments can be shown or hidden as desired, and you can choose whether or not to print them with the PDF.

If you need something a little more permanent, you can also put in your own text boxes, and even "flatten" them to merge them into the PDF.

Digitally Sign PDFs

Applying a digital signature to a PDF is as easy as stamping it. Define and personalize your digital signature with custom images or even your own digital certificate.

A digital signature can serve as a legally-binding electronic signature. It can also be used to prove that the PDF has not been altered since it left your hands.

Fill Out PDF Forms

Filling out PDF forms is simple in FileCenter. Just open the form, type in the fields, and save the form. You can even save it under a new name so the original can be used again. FileCenter's forms support all of the standard PDF fields, including text fields, check boxes, lists, buttons, and signatures.

Add Text to PDFs

FileCenter offers a typewriter feature so you can type text directly onto a PDF. This is very useful for filling out PDF forms that haven't been set up with fillable fields. You can customize the font, color, and size. You can even reposition the text later, edit it, or add to it.

Password-Protect PDFs

If you want to control who has access to your PDF file, password-protect it with FileCenter. The protection encrypts the contents of the PDF so it can't be previewed or indexed, then it applies a password.

There are multiple levels of protection available: require a password to open the PDF, or lock out the ability to print it or make any changes. The level of protection is up to you.

When you open a PDF in FileCenter, you have the ability to drag-and-drop pages to rearrange them in the file, or delete pages from the PDF.

Insert Pages or Move Pages between Files

FileCenter has special wizards to help you insert a PDF into another, or simply move pages between PDFs. Better yet, you can do this without opening anything first. Just select a file and pick a PDF Action.

Combine or Stack PDF Files

In FileCenter Professional, you can "stack" or join PDF files without opening them. Just drag-and-drop one PDF onto another one in the file manager. Or use the Combine wizard to gather together PDFs from different places and merge them. Joining PDFs doesn't get any easier.

Split PDF Files or Extract Pages

Sometimes you need to pull pages out of a PDF file. In FileCenter Professional, you can extract individual pages, split a PDF file into two separate files, or unstack all of the pages into separate files. Best of all, it's not even necessary to open the PDF first.

Print to PDF

FileCenter includes the FileCenter PDF Creator virtual printer for turning any printable document, email message or web page into a PDF file, ready for archiving or sharing.

Just print your file or document to the FileCenter PDF Creator printer, and FileCenter will turn it into a PDF and save it to file.

One-Click PDF Conversion

With one click, convert many kinds of files into the popular PDF format. It's an easy way to convert office files, faxes, and scans to PDF without opening them.

Just select the file in FileCenter and click Convert. FileCenter will create a PDF copy. You can even e-mail files as PDFs – FileCenter can convert-and-send a file in one transparent step. This is the perfect way to send an office file as an uneditable PDF.

Batch PDF Conversion

Need to convert many files to PDF? FileCenter Professional features a batch PDF conversion feature.

Just select multiple files and click the Convert button. A special batch-conversion window will open, giving you many conversion options, like the ability to add keywords to the PDFs as they're created, or to customize the filenames of the new PDFs. You can even retain the date stamp of the original files.

Scan to PDF or TIFF

FileCenter aims to make scanning as efficient and automatic as possible. A basic scan will scan a new document straight to searchable PDF with no additional prompts. OCR runs automatically as part of the scanning process. Literally go from paper to a fully searchable PDF file in one mouse click.

For more flexibility, there's also an Advanced Scan which lets you adjust the scan parameters and options.

ScanSnap Scanning

FileCenter works with the popular Fujitsu ScanSnap scanners to make scanning and organization both fast and efficient.

New ScanSnap scans will go directly into your FileCenter cabinets. Just select a location in FileCenter, then scan with your ScanSnap. You'll scan and save in one simple step. You also have the option to run OCR automatically on new scans to make them fully searchable.

Scanning Tools

Scans don't always come in the way you want them to. FileCenter provides a number of tools to improve your incoming scans.

For example, automatically straighten crooked scans, or strip out blank pages. If you need to scan two-sided documents with a single-sided scanner, FileCenter can help you scan both sides and sort the pages intelligently. All tools and options are available on FileCenter's Scan dialog.

You'll probably find that you're always switching between a few different scanning options: Sometimes you scan in color, sometimes in black and white. Sometimes you want duplex, other times you want single-sided scans. Sometimes you want a searchable PDF, sometimes you just want a basic TIFF file.

FileCenter makes it easy to switch between different configurations with Scanning Profiles. Just set up your most common scenarios, give them each a name, then when you scan just choose the scenario you want to use. FileCenter will take care of applying the right settings for you.

FileCenter Professional features a Scan to Word option. With just one command, FileCenter will acquire a scan, run OCR to extract the text, and send the text straight to Word (or your favorite word processor) for editing.

When you scan, sometimes pages are in landscape orientation or they might even get scanned upside down. FileCenter's Advanced OCR engine can detect the direction of the words on a page and automatically rotate the page so it's upright.

FileCenter integrates OCR (text recognition) as a seamless part of the scanning process. As the scan comes in, FileCenter runs OCR on each page and inserts the text invisibly in the resulting PDF. This makes the PDF searchable, indexable, and lets you copy real text out of the PDF.

The PDF looks just like the original document, but the scanned picture has real text behind it. Literally go from paper to searchable PDF in one mouse click.

OCR Existing Files

If you have files of scanned documents or faxes, FileCenter can make them searchable and indexable through OCR.

Just select a file and click the Recognize Text button. FileCenter will discover the text in the scanned image and inserts into the file. The look of the file won't change, but now it will have actual text that can be searched, indexed, or copied to your word processor.

Choose Your OCR Engine

FileCenter supports multiple OCR engines. Home users may be fine with the built-in Standard engine which has moderate accuracy, or the Microsoft Office Document Imaging engine which is included in many editions of Microsoft Office.

But businesses and users who need more accuracy, auto-page rotation, or support for multinational characters will want the Advanced OCR engine which is included in FileCenter Pro.

Network Deployment & Administration

FileCenter Professional can make even non-technical users good network administrators. Simple tools make it easy to share cabinets and certain features on the network.

For example, FileCenter's cabinets, Naming Options, and Folder Templates have a Share button which will make them available to all network users.

Lock Out Individual Features

FileCenter provides a special interface for administering shared settings on the network. Using this interface, you can make changes to shared items (cabinets, folder templates, naming options) and lock out individual features. This interface provides advanced options for network administrators who want more control over how FileCenter's deployed on their network.
