ScreenshotsPDF Reader & ViewerFileCenter works as a standard PDF reader or viewer. This screen shows a PDF open in FileCenter. Notice the page thumbnails on the left, which make it easy to navigate the file. Also notice the document tabs at the bottom. Use the tabbed interface to keep multiple files open at the same time and access them quickly.
Scan to PDF or TIFFFileCenter aims to make scanning as efficient and automatic as possible. A basic scan will scan a new document straight to searchable PDF with no additional prompts. For more flexibility, there's also an Advanced Scan (Scan button's menu > Advanced Scan). The first screen below shows the Advanced Scan options. You can choose whether to include OCR, select the output document type, and choose scan parameters. Also notice the Profile field at the top. Profiles are a way to save your most common scan settings for easy recall later. The second screen shows how you can also scan directly to file for faster, more streamlined scanning.
Perform OCRTo your computer, a scanned document is just a picture. To get actual text out of the scan, you need OCR – Optical Character Recognition. OCR identifies letters and characters in the scan by their shape, giving you actual text to search on, index, or pull into a word processor. FileCenter includes built-in OCR. The Standard edition has a basic OCR engine, while the Advanced edition features an OCR engine with higher accuracy and support for non-English characters. Both editions also support some third-party OCR engines. When FileCenter runs OCR, it can embed the text invisibly behind the scanned image, giving you a scan that's visually identical to the original but fully searchable. It can also send the text to your favorite word processor or text editor. Here, FileCenter has run OCR on a scanned document and is showing the embedded text.
Automatically OCR All ScansBy default, FileCenter makes OCR a seamless part of scanning, not a tedious extra step. One mouse click can take a piece of paper to fully searchable PDF, with the OCR text embedded invisibly behind the original image. This screen shows the OCR options that are available. Besides embedding the OCR text in the PDF, you can send it to a word processor or text editor. Also notice that FileCenter supports a number of different OCR engines, including the engine that comes standard with Microsoft Office (Microsoft Office Document Imaging).
Stack, Join, and Split DocumentsIn FileCenter Professional, you can "stack" or join PDF files without opening them. Just drag-and-drop one PDF onto another one in the Manage Files view. FileCenter Professional also provides an Enhanced Thumbnails view, where you can flip through pages in the PDF thumbnails and even split PDF files or extract pages without opening the file. In FileCenter Standard, you can combine PDF files by inserting one into the other in the PDF view. The first screen shows PDF files being "stacked" in the Manage Files view and a PDF file getting split. The third screen shows a PDF file being dragged into an open PDF.
Insert, Rearrange, and Delete PagesFileCenter's special Pages view shows you all of the page thumbnails in a convenient workspace. This is the ideal place to drag-and-drop pages to reorder them, delete pages, extract pages into their own file, or even insert new pages. Notice the Tasks list on the right. This gives you quick access to your most common commands and lets you see at a glance what options are available. The first screen shows a page being moved to a different position. In the second screen, two documents are showing at once and a page is being pulled from the left document into the right one.
One-Click PDF ConversionFileCenter can convert nearly any type of file to PDF with a mouse-click. Just select the file and click Convert It. It's not necessary to open the file, print the file, or even have Adobe Acrobat installed on your computer.
Print to PDFFileCenter includes the FileCenter PDF print driver for turning any printable document, email message or web page into a PDF file, ready for archiving or sharing. In this screen, a Word document is being printed to the FileCenter PDF printer. The printer will produce a PDF file and ask the user where to save it.
Scan to WordSometimes all you want from a scan is the text. So why bother with a scanned file at all? FileCenter features a Scan to Word option (Scan menu > Scan to Word). With just one command, FileCenter will acquire a scan, run OCR to extract the text, and send the text straight to Word (or your favorite word processor or text editor). This screen shows a scan that was done with the Scan to Word option, and the resulting text inserted in Microsoft Word.
Separate & Save Scans AutomaticallyWhen you scan in bulk, you need to scan more than one document at a time. That's why FileCenter provides innovative Separators – special cover sheets you place on documents before you scan. Every time FileCenter runs across a separator sheet, it starts a new, unique file. FileCenter takes separator technology to the next level by also supporting document routing information. A separator not only marks the beginning of a document, it can also instruct FileCenter where and how to save the document. With separators, it is possible to scan, convert, separate, and auto-save large stacks of documents with one mouse click. This screen shows FileCenter's separator manager, where you will create and print your reusable document separators.
Logical, Intuitive File OrganizationFileCenter file management software features an electronic cabinet interface which organizes your data into drawers, folders, and files, separated into three views for easy flowing left-to-right navigation. Files can be displayed as large icons, small icons, thumbnails, or in a details view.
One feature that sets FileCenter apart is its compatibility with your other Windows programs. Our file management software stores your files in native Windows folders instead of locking them in a proprietary database, so they're always available to your other programs, even if you stop using FileCenter. Universal File Support; Save/Open IntegrationFileCenter can store any type of file – office documents, music files, pictures, movies, etc. Files will continue to open in their native applications. FileCenter is also able to integrate with the Save and Open functions of nearly any Windows program, letting you save and open files using FileCenter. This image shows a user saving a Word document. Notice how you can save straight into FileCenter. (If you don't want to use FileCenter's save/open integration, it's easy to disable in FileCenter's Settings).
Folder and Filename TemplatesWhether you're an office that needs a consistent naming convention or someone who uses the same filename patterns over and over, FileCenter can make your life easier. FileCenter features reusable folder layouts and standardized filenames. Set up the names you use most and call them up whenever you name a file or create a folder. The first image shows how you can pick a filename on-the-fly when you save. The second image shows a reusable Folder Template:
Inbox; File Moving ToolA big part of maintaining a clean, organized filing system is moving and re-filing documents. FileCenter lets you define an Inbox location for incoming files, like network scans or faxes. There's also a Split view. Both help you to easily reorganize your cabinets or bring files into your cabinets from outside. You can even rename files and folders on-the-fly while they're being moved.
Enhanced File Preview & ThumbnailsHow often do you open a file just to check if it's the file you want? Let's face it, when you're hunting for a file you need to see what you're looking for. FileCenter's built-in preview window gives you real-time previews of files as you click on them. Preview many kinds of files without opening them, including office documents, spreadsheets, PDF files, pictures, and more. Thumbnails are sometimes just as useful. A good thumbnail gives you a quick visual of what a file is. FileCenter Professional provides an Enhanced Thumbnail view that provides thumbnails for most Windows files – not just images.
Desktop & Network SearchFileCenter Professional features a built-in search engine. Searching is as easy or sophisticated as you want it to be, from plain English to Boolean to fuzzy and stemming matches. Network drives can be searched as well. And with shared network indexes, ensure that everyone is searching on the same data. If you prefer a third-party search engine like Google Desktop Search, Windows Desktop Search, or Copernic, FileCenter will integrate with those as well (available in FileCenter Standard or Professional).
E-mail Files ... as PDFsFileCenter makes it painless to send documents via e-mail with its Send feature. And on-the-fly document conversions let you convert and send with a single mouse-click. For example, send a Word file to a client in PDF format to prevent them from making changes. Or zip and send a whole folder of files at once.
File Encryption & ShreddingTo protect sensitive files from prying eyes, FileCenter includes two invaluable security features: file encryption and file shredding. Use encryption to password-protect any file, making it completely unusable without the password. And when it's time to delete a sensitive file, don't just delete it – shred it. FileCenter "shreds" files by overwriting them multiple times with random data, then deleting them. This keeps "undelete" utilities from ever being able to recover the file.
Bridge the Gap with OutlookMaybe the best way to archive e-mail messages is to save them out as individual files. This way you can group a client's archived e-mail with the rest of the client's files. FileCenter can optionally add special Save buttons in Outlook to make it easy to save important messages to file on-the-fly. Many use Outlook to keep track of their customers or clients. But how can you organize your files by client? Easy – use FileCenter's Outlook cabinets. FileCenter can optionally read your contact lists and generate a special Outlook Cabinet so you can start saving files under the names of your Outlook contacts. Network Recycle BinNormally, when you delete a network file it's gone forever. The problem is that Windows doesn't provide a Recycle Bin for network files. FileCenter fills this hole by providing its own Network Recycle Bin. If a user accidentally deletes the wrong network file from within FileCenter, you still have a chance to recover it.
Network Deployment & AdministrationFileCenter Professional is simple to deploy and administer on the network thanks to the free FileCenter Admin tool. Use FileCenter Admin to roll out a silent install, push shared settings to all workstations, and control what features are available.
